Hi, I'm Wanji

A Client Experience VA

Give your clients the support they deserve, without doing it all yourself. I take care of onboarding, follow-ups, scheduling, and the details that keep clients supported, so you can focus on coaching and growing your business.

From coaching clients to supporting coaches

I know how much happens behind the scenes

For 5+ years, I worked as a fitness and nutrition coach. Keeping clients engaged and helping them stay on track was one of my strengths.

But I also learned how easy it is to spend more time running a coaching business than actually coaching. I was doing everything myself, and the work behind the scenes gradually took time and energy away from the work I loved most: helping people make progress.

That experience is a big part of why I do what I do today.

Through product design, I learned to build simpler, clearer workflows. As a certified Medical Virtual Assistant, I developed skills in day-to-day administration and handling sensitive information with care.

Now, I bring those experiences together to support coaches behind the scenes. I want your clients to win as much as you do, and I want you to have more room to do the work you love.

A better client experience, from first hello to follow-up

Client Onboarding & Setup

Give every new client a clear, welcoming start. I help manage welcome emails, intake forms, initial bookings, and client records so everyone knows what happens next.

Client Support & Engagement

Keep clients from feeling forgotten between sessions. I help manage routine enquiries, check-ins, follow-ups, progress trackers, and communication for group programs.

Scheduling & Business Coordination

Keep sessions, calendars, records, and program logistics in order. I coordinate the moving parts so fewer details slip through the cracks.

What better client support looks like

From scattered messages to a smooth start

From scattered messages to a smooth start

The problem: New clients were waiting for next steps because onboarding details lived across messages and memory. What I built: A payment-to-first-session workflow, including a welcome email, intake tracker, and status dashboard. What changes: Every client has a clear next step, and the coach can quickly see who is ready and who needs a nudge.

Catching clients before they drift

The problem: With 15 active clients, some hadn't booked their next session, others had missed check-ins, and one had gone quiet for three weeks. What I built: A weekly follow-up tracker, coach-approved message templates, and a clear escalation process. What changes: Clients who may need support are easier to spot, and the coach can focus on the situations that need their attention.

The problem: Registrations and payments for a 20-person cohort were scattered across inboxes, making it difficult to see who was confirmed and what needed to happen next. What I built: A Trello workflow with task owners, enrollment and payment tracking, a timeline, and a waitlist. What changes: The coach and supporting team can see what's done, what's outstanding, and who needs attention.

You don't have to keep doing it all yourself.
